The Academy at CCI School Procedures
Having our students and parents understand our school procedures, rules, and polices is an essential part student success at The Academy at the CCI. We want to give parents access to updated information and important forms. To help students and parents get the most out of their experience at the school, we’ve made information on school procedures available in this packet and on our website.
Contacting Your Student If it becomes necessary to deliver a message to you student during the school day, please call 770-947-7690 or come by the school office. Make every effort to communicate plans with your student before he or she leaves for school in the morning. In the event of an emergency or change of plans, the office staff will relay messages to your student. We do not interrupt our classes to deliver messages that are not critical.
Forgotten Lunches or Homework
Lunches and homework brought to school by parents must be left at the front desk. The office staff will contact your student to get his or her items. We do not allow students to use the phone to ask parents to make deliveries to the school. Taking personal responsibility for getting homework and other materials to school is an important part of your student's growth. It is important for students to be held accountable and accept the consequences of their choices.
Student Use of the Phone
The school phone is used for business and emergency purposes. It is available for use only with permission of the teacher or office personnel. Students will not be allowed to use the phone for personal reasons.
School to Home Communication
The staff of The Academy at CCI makes every effort for parents to be well informed about school activities. All regularly scheduled events and holidays are on the website. In addition, classroom teachers have webpages so you can see exactly what your student should be doing to be successful. We will also be using Remind 101 and Constant Contact for updates.
Student Emergency Health Information Forms
Emergency Health Information Forms will be sent home with each student as part of the school packet at the beginning of the school year. Please fill out this form completely and return it to school as soon as possible. During the school year, please contact us immediately if there are any changes to the emergency information such as address, phone numbers, and/or change of responsible contacts.
Illness or Accident at School
We request that parents provide us with updated contact and medical information in case of an accident requiring the services of a doctor. If it is necessary for a student to go home because of illness, contagious health problem, or injury, the parent will be requested to pick the student up immediately. If we cannot reach a parent, we will make contact with the people listed on the Emergency Health Information Form. We will make every effort to contact a parent before the student is taken to a doctor. In the event of a serious illness or accident, The Academy at the CCI personnel will:
1. Attempt to make contact with parents.
2. If parents are unavailable, attempt to contact the authorized persons listed on the Emergency Health Information Form.
3. As needed, we will contact the student's physician if above persons cannot be reached.
4. In the case of serious illness/injury, the school will telephone Emergency Medical Services (911) for assessment and immediate transportation to the closest appropriate hospital.
5. We have an “Authorization for Emergency Treatment” on file as a section of the School Emergency Health Information form. This allows the emergency medical responders and the hospital to treat life-threatening and non-life-threatening conditions, i.e., x-rays, sutures, etc.
Student Medication
Medical treatment is the responsibility of the parent and the family physician. Medications are rarely given at school. The parent is urged to work with the physician to plan a medication schedule for non-school hours. If it is an absolute necessity that medication be given at school:
1. We must have a written statement from the doctor "detailing the method, amount, and time schedule by which medication is to be taken".
2. A signed release from the parents for school staff to assist in administering medication.
3. Medication must be in a pharmacy container, labeled with the student's name; the name of the medication; proper dosage and instructions; name of the prescribing physician; name of the pharmacy or manufacturer who dispensed the medication.
Forms are available in the school office. The policy for over-the-counter medication, such as aspirin, eye drops, cough drops, etc. is the same as listed above. Medication forms must be renewed each school year.
Meals - Lunch, Breakfast, and Snacks
As part of the health movement in our state, The Academy at CCI joins the State Department of Education in stressing the need for healthy kids, so we have healthy snacks available for purchase in our school store.
Parents are responsible in making sure that students come to school properly nourished and ready to learn. Students may eat breakfast before school at their base high school. Students may bring their lunches from home or buy them at school. The Academy at CCI provides a nutritional hot lunch program.
Homework Guidelines
Each teacher at The Academy at CCI has developed guidelines for a homework policy. These policies, including the consequences for late or missing work, will be listed in the syllabus for each class.
Parents can support a student's interest in lifelong learning by providing an environment at home in which homework is a high priority. We encourage parents to require their students to take responsibility for doing their homework and getting it to school on time. Our teachers hold the students accountable for their homework, and students will be given the consequences as outlined in the syllabus for late or missing work.
Parent Involvement
Volunteer at least 5 hours per semester per family; for a total of 10 hours per year to be completed by May 30. Note: Opportunities for volunteering will happen year-round and emails will be sent as invitations and reminders. If you would like to volunteer during the school day, it is imperative that you schedule this in advance.
Conferences and Progress Reports Reporting Student Progress
Communication between home and school is extremely important, particularly in regard to student performance. The teacher, parent, and student share joint responsibility for this communication.
Formal Reporting Procedures
1. Initial Parent and Student Advisement Session We schedule a 15 minute meeting with each parent and student to discuss the details and specifics of becoming an Academy at the CCI student. These conferences are held prior to the first day of school.
2. Back to School Night Parents and students visit the CCI to familiarize themselves with the atmosphere of our school. Classrooms are open and teaches are present to explain the curriculum for the school year. Grade level expectations, classroom expectations, classroom daily schedule, discipline and homework policies will be discussed and a syllabus will be given to each student and parent to review at home. Returning a signature page acknowledging understanding will be part of the back-to-school procedures.
3. Conferences Meetings throughout the school year will be scheduled for parents of each student. This is a very important opportunity for you to discuss your student's academic and social growth with the teacher.
4. Access to Parent Portal Our teachers will keep grades updated on Parent Portal weekly. Please monitor your student’s grades throughout the semester.
5. Report Cards Updates will be issued every nine weeks. Conferences for selected students may be scheduled as necessary.
Informal Reporting
Contact may take place any time. Please check with the teacher each time you have questions or concerns. Appointments should be made with the teacher ahead of time by contact through email or phone communication.
Inclement Weather Days
During extreme weather conditions, please check your local radio station or television news channel for announcements of school closures. We adhere to the decisions made by the Douglas County School System. Tune into WSB for school closings.
